CRM lead recovery for stale opportunities
A stale CRM record is a decision nobody made. Reviewing them means giving each one an owner, a last-activity date and a next step, or closing it on purpose.
What a stale-record review should reveal
The most useful review is often basic: who owns the lead, what happened last, and should the opportunity be followed up, updated, or closed?
No owner
A lead exists, but no one is clearly responsible for the next step.
No next task
An opportunity has a status but no practical action.
Duplicate records
The same person or company appears in more than one place.
Old open leads
A record is still open, but nobody has decided what should happen.
A worked example
Five fictional records, reviewed. These are made up to show the method, not results from any business.
| Record | Owner | Last activity | Decision | Next task |
|---|---|---|---|---|
| Kitchen remodel quote | None | Quote emailed in March, no reply logged | Needs an owner | Assign to the estimator, then one call under the approved script. |
| R. Alvarez, two records | Two different people | Same phone number on both | Duplicate | Merge once you confirm. Make sure the customer is not called twice. |
| Roof inspection request, from the website form | Office | Form received, no reply recorded | Open with no next task | Call today under the approved script. |
| Maintenance plan lead, 14 months old | None | Nothing since it was created | Probably closed | You decide: close it, or approve one reactivation call. |
| Email-only inquiry | Office | One email, no phone number | Hold | No permitted phone route, so it is held. No number is invented. |
Limits: a review can only use the records you give access to, and dates and owners are only as good as what the CRM recorded. Nothing is deleted or changed in your CRM without your approval.
What the pilot does with a CRM
The 30-Day Revenue Recovery Pilot works with the intake path you already have, a CRM or even an informal one. It is not a CRM replacement and it is not a full database cleanup. The founder works the agreed list, and any record updates are made only through paths you have approved.
One intake path, one location
A bounded scope agreed before work begins. A larger cleanup would be scoped and approved separately.
